[governance] Confusion about members lists and mailing lists

I’d like to note that this important conversation has been going on so long, with so very many email exchanges that it is important to make the subject line extremely clear when there is finally a vote, so people understand that they must respond or not be counted.

Something like: VOTE NOW on IGC – Weigh in or be left out

Sorry, one phrase in this was not clear

> And if you do not vote, or indicate a no preference vote, you are no longer an IGC member.

What I meant to convey is that if you do not vote - and indicating a no preference vote is considered a vote for this purpose - you are no longer an IGC member.

Subject: [governance] Confusion about members lists and mailing lists

I disagree with the concept of publishing lists on line of people who join the mailing list. Apart from the GDPR and privacy issues, the maintenance problems for such a list are not worth the effort. Apart from that, most mailing list software platforms have ways to locate list users so I don't see the point.

Also - there is often confusion in these discussions between mailing list users and IGC members. The mailing list contains many people who wont identify as IGC members - people who are from government, private sector, tech community etc who do not identify as civil society but are interested to follow our discussions on internet governance issues.

IGC members, on the other hand, are people who voted in the most recent coordinator elections (or indicated a no preference vote) and who in this process identified as civil society members. I think we also in this era have to ask their permission as part of this voting process for their names to be listed online as IGC members. (as pointed out by Bruna). That's a discussion as the election process gets underway.

Everyone on the mailing list for more than 2 months gets the opportunity to vote if they wish to and consider themselves qualified, and thus be listed as an IGC member. And if you do not vote, or indicate a no preference vote, you are no longer an IGC member. That's what the Charter says.

But as regards lists on line - we should not be listing mailing list members. If we do intend to list IGC members, we have to ask their permission: and we will only have a reasonable members list after the elections.

Dear Bruna and Sheetal,
I also support this idea of establishing some pages with in the IGC Website, a) Welcome to the Best Bits User. b). List of the Best Bits users who has join the IGC. and Keeping them updated regularly....

Secondly, if agrees, as soon as the archived statements of the IGC are uploaded, one parallel page for BB Statements could be established to host the BestBits Statements and endorsement record.

Thanks Bruna, I think an on-boarding page is an excellent idea. Happy to work with you on this if that helps,

Thank you so so much to all involved on this! Its absolutely thrilling to see the IGC website back to work!
Adding to Arsène's point about membership approval, I would also have a concern on the website and IGC being GDPR compliant when listing the members names - we should give people the option of being listed, or not!

Also, maybe we can add a - newcomers/onboarding - page, thinking of the BestBits or any other new member who end up joining our list. It would be important to have a more consistent place with the history of IGC and CS coordination and so on.. I can start collecting material on this, if everyone agrees.

Bruna Santos

Membership subscription is just added on the membership page, as alternative to the previously referred page of registration. Assuming that the subscription request will go through approval. If it is not activated, may be arranged through the List administrator.
Thanking you for pointing out, I have removed it for a while until the User Registration Page is developed and uploaded.

Good job, team! Thank you very much for bringing our website back online.

Is there a process of approving (vetting or so) new members before
they can be added to the mailing list? I do remember in the past Co co
were the ones approving new member's requests, I am hoping we can keep
it that way. It is said on this link
(https://igcaucus.org/membership/<https://nam04.safelinks.protection.outlook.com/?url=https%3A%2F%2Figcaucus.org%2Fmembership%2F&data=02%7C01%7Candersj%40elon.edu%7Cb662dc659bb74c053f6508d711414eda%7Cba18326d711f4ae286816115493a7a53%7C1%7C1%7C636996844539442687&sdata=w2lwH%2FI5pAJpW5CBVfFJx%2F2QDGLTjc9vsLqTiFTABJ4%3D&reserved=0>) that anyone who sends an email to
governance-subscribe at lists.riseup.net<mailto:governance-subscribe at lists.riseup.net> will be subscribed.

Did you set it up so that this request goes to the Co-cos first? And
then have them approve the request before the member is added to the
mailing list?

Just thinking out loud so will appreciate any leads on this to confirm
my thinking.
